Cancellation Policy

Please read this policy carefully before booking.

A 10% booking fee is non-refundable in all circumstances.

If you cancel more than 30 days prior to your scheduled tour date, you may choose one of the following options:

  1. Receive a refund, less the non-refundable 10% booking fee; or
  2. Reschedule to another available date within the same season

If you cancel within 30 days of your scheduled tour date, all payments are retained. We do not offer refunds, credits, or reschedules for guest cancellations made within 30 days of the tour date.

Park City Powder Cats operates a small, seasonal, snow-dependent business with limited tour dates and a limited number of seats available each winter. Once a guest books a seat or private cat, that space is removed from inventory and is often difficult or impossible to refill on short notice. Last-minute cancellations have a direct impact on our ability to operate sustainably, and successfully throughout the season. A firm cancellation policy allows us to protect our guides and staff, honor our operational costs, and continue providing the high-quality backcountry experience our guests expect.

Due to the strict nature of this policy, we strongly recommend all guests purchase third-party trip insurance at the time of booking. Guests may explore options through providers such as InsureMyTrip.com or another travel insurance provider of their choice.

By completing your reservation, you acknowledge and agree to the terms of this cancellation policy.

The 10% booking fee is retained in every scenario without exception. Cancel more than 30 days out vand your deposit is refunded or apply it to a new date at no additional charge. Inside 30 days, all payments are fully retained with no refund, no reschedule, and no credit.

1) How Payments Work

A 50% deposit is charged to your card at the time of booking. The remaining 50% final balance is charged automatically 30 days before your trip date using the card on file. This payment is processed without further notice. If your card details have changed, contact us before the 30-day mark.

Group bookings: the group leader is responsible for the full deposit and final balance for the entire party. For private cat buyouts, one card covers the full invoice.

2) Cancellation & Rescheduling Policy

All cancellations must be submitted in writing to reservations@pccats.com and take effect upon our written confirmation of receipt.

Cancel more than 30 days before your trip
Your 50% deposit is refunded less the 10% booking fee .. The final balance has not yet been collected and will not be charged.

Example: on a $990 per-seat booking, the 10% booking fee is $99. Your $495 deposit is refunded in full. PCPC retains $99.

Reschedule more than 30 days before your trip
If you need to change your date, you may reschedule your entire booking to any other available date in the same or following season at no additional charge. Your 10% booking fee carries over to the new date, no second booking fee is applied. Rescheduling is subject to availability and must be confirmed by PCPC in writing. Rescheduling may only be requested outside of 30 days from your original trip date. Inside 30 days, no rescheduling is available.

The reschedule option applies to your entire booking, all guests in your party on the same date. Partial rescheduling (moving some guests but not others to a new date) is not available and would require a cancellation and new booking.

Cancel or reschedule within 30 days of your trip
All payments are retained: the 10% booking fee, the 50% deposit, and the 50% final balance.
No refund and no rescheduling is available within 30 days of your trip date, under any
circumstances, including illness, injury, travel disruption, or personal emergency. This is why we
strongly advise all guests to purchase trip insurance through InsureMyTrip.com before their tour
date.

No-shows
Failing to arrive on your trip date forfeits all payments in full. No refund, no reschedule, no credit. No exceptions.

Transferring Your Seat
Your reservation is 100% transferable to another guest regardless of timing. Your replacement
must:

  • Ski or ride at the same ability level assigned to you at booking
  • Be available on your original trip date
  • Be approved by Park City Powder Cats before the tour date

    If your replacement pays you directly and no card refund or recharge is required on our end, no additional fee applies. If we need to process a refund on your card and run a new charge for your replacement, a 10% booking fee applies to that transaction.

3) If Park City Powder Cats Cancels

We cancel trips very rarely. Our snowcats operate in conditions that would shut down any
lift-served resort in Utah. If PCPC cancels your trip for any operational reason, you will receive
one of the following at your choice:

  • A 100% credit valid for up to two future seasons, our preferred option
  • A full refund of all payments minus the 10% non-refundable booking fee

Early season (Dec 23–Jan 14): if PCPC cancels due to insufficient snowpack or early-season
conditions, guests receive a full refund of all payments minus the 10% non-refundable booking fee or a reschedule at no additional cost . The booking fee is retained in all PCPC-initiated cancellations exception.

Minimum guest requirement
We require a minimum of 5 guests per snowcat. If a cat does not meet the minimum 72 hours
before your trip, we will attempt to consolidate groups. If consolidation is not possible, you will
be offered a rescheduled date, a 100% credit, or a full refund minus the 10% booking fee.

4) Trip Insurance

Given that all payments within 30 days of your trip are non-refundable, we strongly advise every
guest to purchase third-party trip insurance before their tour date.

We recommend InsureMyTrip.com. InsureMyTrip is a travel insurance marketplace that lets you compare multiple plans side by side, filter specifically for adventure sports and backcountry skiing coverage, and find Cancel For Any Reason options from leading providers.

What your policy should cover

  • Trip cancellation for covered reasons: illness, injury, family emergency, job loss, travel disruption
  • Cancel For Any Reason (CFAR) reimburses 50–75% of non-refundable costs for any reason; must typically be purchased within 14–21 days of your first deposit
  • Medical evacuation: helicopter evacuation from the Uinta Mountains is not covered by standard health insurance; verify this is explicitly included
  • Emergency medical coverage: confirm your policy covers backcountry skiing and professionally guided adventure activities
  • Trip delay: covers accommodation and expenses if travel is disrupted before your tour date

When to purchase
Purchase within 72 hours of your first payment for the broadest available coverage including
pre-existing medical conditions. CFAR coverage must typically be added within 14–21 days of
your deposit, do not wait. Credit card travel insurance typically does not cover backcountry skiing, adventure sports, or helicopter evacuation from remote terrain. Verify with your card provider before your tour date.

5) What We Cannot Refund

The following situations do not qualify for a refund, reschedule, credit, or insurance claim
through PCPC under any circumstances:

  • Personal injury sustained during the tour
  • Your choice to end your day early for any reason
  • Inability to keep pace with your assigned ability group
  • Travel expenses: flights, accommodation, and car rentals are entirely your responsibility
  • Specific snow conditions, run counts, or vertical footage, we do not guarantee these
  • Damage to or loss of personal ski or snowboard equipment
  • Removal from the tour for failure to follow guide instructions or safety protocols

6) Release of Liability

All guests must sign a Release of Liability and Assumption of Risk waiver before their tour begins. Waivers are provided online with your reservation confirmation or in house at check-in. Guests who decline to sign will not be permitted to participate and no refund will be issued. Completing a booking with Park City Powder Cats constitutes acknowledgment that you have read, understood, and agreed to this policy in full.
